How Leads Arrive

From a post somewhere on the internet to a graded lead in your queue: what your agents do between the two, told in user terms.

Your agents work around the clock, and leads arrive throughout the day rather than in one batch. Between "someone posted something" and "a lead appeared in your queue", three narrowings happen, and the vocabulary of the whole app comes from them.

WordMeaning
ScannedEverything your agents read: every post and comment that contained one of your keywords, every profile considered.
MatchesThe posts worth a look: on-topic, in scope, past your filters.
LeadsThe people worth talking to: real buying signal or a real fit with your ideal customer.

The narrowing is steep by design. Thousands scanned becoming tens of matches becoming a handful of leads is the system working: every step exists so that what reaches you deserves your attention. If you ever want the full picture of the funnel with numbers, the Insights page shows every stage and where yours narrows most.

The two engines

  • Conversation leads come from what people say: your keywords matched a post on Reddit, LinkedIn or X, and the post showed genuine intent. These leads carry the post as evidence, with your matched keyword highlighted in it.
  • Profile leads come from who people are: with Sales Navigator connected, your agent finds the people matching your ideal customer profile directly. These carry the profile facts that matched: title, company, industry, size. They arrive with the status Prospect, since they match your ICP but have not said anything yet.

Where leads land

Everything lands in the Leads queue, newest first, graded High, Medium or Low priority. Leads from watched accounts and company events also surface in Watchlist, and your best recent ones are summarized on the Dashboard. If you route an agent to a list, its leads carry that list too.

When you want to know the moment it happens

Turn on the Hot lead found notification in Settings, under Notifications, to get pinged when a strong lead arrives, in-app, by email, or into Slack, Discord or Teams via integrations. Everything else can wait for your daily review; hot leads are the ones where hours matter.

Note
Some leads are hidden before they reach you: LeadPinger filters out posts and people that match your keywords but fail your criteria, and keeps them reviewable under the Filtered out toggle in the queue. The check is deliberately visible and reversible: one click restores any lead it got wrong. See Fit & Not-a-fit.
